Deputations

A deputation is a verbal way of presenting an issue to the notice of all Elected Members at a Council meeting. It is undertaken in accordance with the Code of Practice - Procedures at Meetings and the Local Government (Procedures at Meetings) Regulations 2013.

If you, or a group of people (maximum of three) wish to make a deputation you can contact the Chief Executive Officer by letter, phone or in person.

What do i need to do to submit a deputation?

Download the Code of Practice - Procedures at Meetings to find out how to submit your deputation and how it will be handled by Council. The Code specifies that any person(s) wishing to present a deputation must write to the Chief Executive Officer and provide the following details and documentation:

  • if presenting an organisation and/or body provide a copy of the constitution and rules of the organisation and/or body and list of members
  • the name(s) of the representor(s)
  • the subject matter (details of the content of the deputation will not be included within the meeting minutes)

Submit you deputation request to Council in writing to:

All deputation requests must be made in writing no later than one week before the scheduled Council meeting.

What happens to the deputation?

  1. You will be informed of the outcome of your deputation request
  2. If your deputation request is granted, the Chief Executive Officer will include the matter on the agenda for the next Council meeting. Included will be:
  • a statement detailing the nature of the deputation
  • the names of representor(s) (maximum of three people)

If your deputation is approved:

Your deputation will commence approximately five to 10 minutes following the opening of the meeting at 6pm (this cannot be guaranteed)

You and any other representors will have five minutes in total to present your deputation, following which Elected Members will be invited to ask questions for a total of five minutes.

Representors cannot participate in the debate nor ask any questions of Council.

Can members of the public attend the meetings?

Members of the public are welcome to attend all meetings but cannot participate in the debate at meetings.

Please note meetings are held on the second Tuesday of the month, commencing at 6.00pm, unless stated below.
